From Tech to Value

Information technology (IT) departments often struggle with proving their value. One might say that if all systems function without error, people will not be sure the IT department has done anything at all. However, excellent system functionality comes with great effort. IT projects can also be costly and alter current business processes; it may be difficult to convince leadership that projects are worthwhile. Having an outline for success is crucial. Two relevant topics of a business case are the project's business narrative and quantifiable benefits. 

NARRATIVE

An IT leader or team should develop a convincing business narrative about how the whole business benefits from the project rather than technical details. The narrative should show how IT fits within the company's structure so that stakeholders feel connected to the department and its work. Explaining how a project might affect different functional areas allows a broader audience to find their own way of utilizing or benefitting from the project. Some topics one might include are why the audience should care, what the benefit is to them, how (and how much) they will be expected to engage with the project, and the desired outcome(s). Increased cybersecurity is a common justification for infrastructure changes. A top-down approach that starts with how the project aligns with business objectives is a great place to start. 

METRICS

One should incorporate metrics appropriately within the business narrative. Providing quantifiable benefits of a project often gives credibility to the project. Use caution when applying facts and figures, as too many numbers make a story difficult to follow. A proper metrics-to-story ratio is needed. One should be selective with chosen metrics, thinking carefully about the most critical concepts in the specific business scenario. All companies are different and use varying key performance indicators to evaluate progress or value.

SUMMARY

With any project, the benefits must outweigh the cost. Successful business cases show how each stakeholder group will profit, and the inclusion of key metrics will highlight the tangible benefits of a project. Keep the audience in mind and identify all stakeholders to ensure top-to-bottom support.
